Minimum Qualifications:
  • Two years post-secondary education in a related field
  • Five years’ experience in a senior administrative support role, preferably in the public sector
  • In-depth understanding of administrative processes and applicable digital applications, including meeting scheduling software, filing systems
  • Sound working knowledge of current Microsoft Office applications
  • The ability to prioritize competing demands and an understanding of the executive function in a complex, multi-faceted organization
  • An understanding of confidentiality and privacy as it pertains to the municipal operations
  • Experience in working with a budget, overseeing disbursements, obtaining appropriate approvals for expenditures and reconciling invoices and credit card statements
  • Excellent verbal and written communication skills
  • Superior organizational skills, effective time management, analytical reasoning and problem solving skills
  • Ability to maintain professionalism while under pressure, displaying excellent customer service skills
  • Commitment to accuracy and critical attention to detail, able to demonstrate flexibility and initiative
 
Assets:
  • Experience in dealing with and / or working knowledge of Municipal Councils, Committees, Boards and Trustees
 
Duties:
  • As assigned, provide and oversee administrative support to the Mayor and the CAO, including but not limited to:
    • Scheduling and coordinating meeting activities for the Mayor and the CAO
    • Managing the preparation and review of reports, correspondence, and other documents for the Mayor and CAO
    • Scheduling and managing meetings and special corporate events on behalf of the Mayor and / or the CAO
    • Supporting the Mayor in his role as a representative of the County at official functions
  • Acting as secretary to the Senior Management Team, including the preparation of meeting agendas and completion of meeting minutes
  • Supporting the Clerk / Council Services Division with the management of Council and Committee activities
  • Providing support in the coordination of key County events and public initiatives and on occasion, lead special projects for the Mayor and the CAO
  • Plays a critical role in aligning the activities of the County’s administration to the Council and Committee cycle
  • Ensures that the time of the Mayor and the CAO is optimized to fulfill their respective executive duties
 
Annual Salary Range: Grade 5: 2018 $59,550 - $69,670 (under review)                35 hours per week
